The Challenge
Education and tutoring networks receive enquiries across WhatsApp, web forms, and referral channels simultaneously. Without automation, every enquiry requires a human to read it, identify the right match, check availability, and initiate a booking conversation. As the network grows, this does not scale. Response times lengthen, follow-ups are missed, and conversion falls not because demand dropped but because the operations layer cannot keep up.

The solution
Dataverse built an end-to-end automated enrolment pipeline. All inbound enquiries from WhatsApp, web forms, and referrals were captured into Airtable via n8n automations. A matching algorithm identified availability by subject, level, and location. A WhatsApp bot initiated the first response within minutes and handled the confirmation flow without admin involvement. Claude API classified complex or ambiguous enquiries before routing. A BigQuery warehouse with dbt models provided a live pipeline dashboard in Looker Studio tracking conversion rates and capacity across the network.
