Professional services firms face a structural problem: critical knowledge about clients, matters, risks, and relationships is held by individual partners. When that partner is in court, on leave, or leaves the firm, the knowledge goes with them. At the same time, fee earners spend a significant portion of their day on work that does not require their professional expertise. This project built an AI operations layer for legal and accounting practices that surfaces the right information to the right person at the right time

The Challenge

Professional services firms handling legal matters, tax advisory, audit, and corporate transactions had no centralised way of surfacing operational intelligence. Client matters approaching deadlines, silent clients not contacted in weeks, compliance gaps, referral relationships going cold, and billing exposures were all tracked informally or not tracked at all. Fee earners were spending 30 to 40 percent of their billable time on tasks that did not require their expertise, from chasing documents to preparing for calls to searching through old files for precedents.

The solution

The project delivered a complete AI operations layer built around five core interactions. A morning digest greets the managing partner with prioritised, actionable items covering deadlines, silent clients, compliance issues, referral activity, billing exposures, and new enquiries. Inline matter expansion panels allow fee earners to see full context and generate AI-drafted responses without leaving the screen. A firm knowledge base indexes 47 documents covering matter histories, strategy memos, client notes, and precedent recommendations, with live search suggestions that anticipate queries as they are typed. A COLP compliance dashboard surfaces AML completion rates, matter review status, and training compliance in real time. A referral radar visualises the health of referral relationships over six months using sparkline charts.
